Public records and open meetings, managed with confidence.
Records requests and open-meeting obligations carry statutory deadlines. Govflo helps your team meet them with room to spare, with every redaction traceable to the exemption claimed.
Every request against the clock its statute sets.
Records law gives a fixed number of days to respond, and the count starts whether or not anyone is watching. Govflo puts the whole queue against that clock.

Triaged, assembled, proposed for redaction.
Responsive documents assembled. Redactions proposed with each traceable to the specific exemption claimed. The custodian reviews and signs. Govflo never files anything on its own.
Agendas, notices, minutes, deadlines.
The posting compliance trail assembles itself. Missed deadlines are surfaced before they're missed.
Every redaction carries the reason it was made.
Govflo is built on one rule. The system assists, a person decides. Nothing is redacted or released without a custodian approving it.
Two redaction modes.
Match-based redaction acts on an exact term and deliberately stores no reasoning, so there is nothing for a court to interrogate beyond the match. The assistive mode records its reasoning and the exemption claimed. Agencies choose which one they run.
Reasoning you can read.
In assistive mode each suggested redaction carries the exemption code and the reason behind it. The reviewer sees both before approving, and they are retained if the file is ever produced in court.
One master document.
Govflo keeps a single canonical original with every case-specific redacted version linked back to it, so the redacted and unredacted copies can be retrieved together for in camera review.
Text, video and audio.
Faces and plates are blurred in video and audio is bleeped, then the proposed regions go to a reviewer to confirm. The same assist-then-approve pattern used for documents.
The letter writes itself. The custodian signs it.
Every jurisdiction words its response requirements differently, so Govflo is built as a template engine rather than one fixed letter. New Mexico's detailed format is one configured template, not the only one.
Acknowledgment to completion.
Templates for acknowledgment, extension, denial, partial release and completion, configured per jurisdiction and per letter type.
Populated from the record.
Merge fields draw from the search trail and the exemption codes already on the file: when the search ran, what terms were used, how many records came back, how many were responsive, how many were withheld and under which exemption.
Reviewed before it goes.
The custodian edits the draft and sends it. Govflo does not correspond with a requester on its own.
Built next, for the day someone challenges it.
These are in development rather than available today. Each one extends the record Govflo already keeps on every request.
Vaughn index.
Built to compile the index of what was withheld or redacted, with the exemption and justification for each, from the decisions already recorded on the file.
Chain of custody.
Designed to hash-stamp a request on intake and log every access to an unredacted original afterward.
Appeals and holds.
Built to track denial appeals and litigation holds against the request they came from.
Records law exists at every level. Govflo tracks each jurisdiction.
Records law exists at every level of government. Federal FOIA has its own rules and deadlines. Each state writes its own public records law. Local ordinances add a third layer. Govflo tracks each jurisdiction separately, so the rules that govern a request are the rules applied to it. New Mexico's IPRA and Open Meeting Act are the first implementation.
